The University Scheduling Office provides a centralized system for securing
Southeast Missouri State University facilities and services for groups and
individuals desiring to hold camps and conferences on campus. The
University offers a unique "one-stop shop" for our customers wishing to
book a camp or conference. Both on and off-campus groups may take
advantage of Southeast's services and facilities.
Event Planning Checklist
At least one year prior to your event:
- Prepare initial outline for your conference
- Determine administrative and operational needs
- Begin preparation of marketing brochure and other
materials
Six months to one year
prior to your event:
- Decide on appropriate facilities for your meetings and
events
- Arrange food and housing for your participants
- Plan for appropriate entertainment and leisure time
activities
- Determine your transportation needs
- Prepare first draft of brochure
- Determine staffing needs-arrange adequate coverage for the
event
Three - four months prior to your event:
- Schedule a planning meeting with the Logistics Team
- Determine registration needs
- Set up brochure mailing procedures
At least three months prior to your event:
- Have signed agreement for services with the Logistics Team
One - two months prior to your event:
- Review entire conference schedule
- Determine evaluation procedures
- Review budget concerns
- Evaluate registration numbers
